The five-question check
- Can I state my purpose in one calm sentence?
- Have I owned my part without turning the letter into a defense?
- Does every detail need to be included today?
- Have I avoided making the reader responsible for my feelings?
- Can they decline or stay silent without being punished?
Read it aloud
Reading aloud quickly reveals copied phrases, exaggerated declarations, and sentences that sound unlike you. Replace broad claims with a small, concrete detail wherever possible.
Wait one night when you can
A pause is often the most useful edit. It gives you time to remove sharp language and decide whether the message is respectful of the other person’s space.
